Business Manager sought to support Sprout’s administrative, office, and financial activities
The Business Manager provides for the day-to-day management and administration of The Sprout Fund’s business operations and office-related activities. The position is the key administrative support professional for the team of 2 executives and 8 program staff at Sprout’s Penn Avenue headquarters in Garfield/Friendship.
The position requires an eagerness to learn and a strong desire to work with diverse communities to leverage Sprout resources to create change in the Pittsburgh region. Reporting to the Deputy Director, the at-will position is full-time and exempt from overtime.
Accounting & Finance
- Manage routine accounting functions, including general ledger, accounts payable/receivable, and monthly reconciliations
- Manage and track deposits, invoices, payments, credit card activity, credit accounts, and petty cash
- Prepare monthly, quarterly and annual budget-to-actuals, cash flows, and other financial statements
- Monitor, analyze, and provide regular written summaries of current financial outlook, both organizationally and for individual program areas
- Ensure maintenance of effective internal controls to assure safeguarding of assets and reliability of financial statements
- Assist outside accounting firm(s) on the annual audit and on the timely filing of state and federal tax returns, including Form 990 and others as required
- Provide staff support to the Deputy Director and Board Treasurer for the Finance Committee of the Board
Office Operations & Business Administration
- Ensure the smooth day-to-day running of a clean and functional office environment for staff and visitors
- Perform administrative duties such as filing and organizing, answering the telephones, coordinating travel and schedules, arranging and preparing for meetings, assisting with presentations, manage incoming and outgoing mail, preparing correspondence, etc.
- Maintain the electronic business file management system, keeping meticulous track of key documents
- Manage the purchase, maintenance, and inventory of office equipment and consumable supplies
- Manage the maintenance of Sprout facilities—performing routine, minor tasks directly and obtaining bids and supervising contractor work for major repairs as required
- Manage insurance for the organization including risk management and assessment, claims management, requests for certificates of additional insured, and preparation for annual renewals
- Assist the Deputy Director with human resources duties as needed
Grants & Vendor Management
- Work closely with program staff to prepare and process grant agreements for projects, sponsorships, stipends, and other Sprout-funded activities
- Maintain up-to-date vendor records with appropriate documentation for tax filings
Development & Fundraising Support
- Process donations, prepare acknowledgements, and coordinate grant agreements for contributions from foundations, corporate supporters, public agencies, and individuals
- Help assure compliance with all the terms, conditions, and reporting requirements of major grants
- Provide guest services, hospitality, and logistical support for meetings and events on-site at the Sprout office as well as off-site for important organizational activities
- Research, develop, plan, organize, and/or execute other short-term projects or assume additional responsibilities as assigned
- Work collegially, creatively, and cooperatively with all staff and board members to advance the overall mission of the organization
- College-level degree, related professional field preferred
- Hands-on experience using accounting software, including posting of entries, periodic closing of financial records, and preparation of financial statements (Sprout currently uses QuickBooks and bill.com)
- Good computer skills with a strong familiarity/experience with Microsoft Windows/Office work environment
- Proficiency in database management or other experience in tracking information using electronic systems
- Moderate flexibility in working hours, including the ability to occasionally work on weekends and weeknights
- Ability to work at a computer for 6+ hours per work day; ability to lift up to 20 pounds
- Reliable transportation to/from office, stores, and Sprout activities using personal vehicle
- Strong organizational and small project management skills with a keen attention to detail
- Professional and positive attitude; strong work ethic; ability to work both independently and with a team
- Excellent interpersonal and customer service skills, in both written and verbal communications
- Capacity to maintain a high level of productivity in a fast-paced environment
- Comfort working in free-standing office building with stairs in a diverse, emerging urban arts district
- No aversions to or fears of the presence of friendly dogs occasionally visiting the office environment
